Personal information you disclose to us
In Short: We collect personal information that you provide to us, including sensitive health data necessary for providing counselling services.
We collect personal information that you voluntarily provide to us when you fill in our Online Counselling Agreement, express an interest in obtaining information about us or our Services, or otherwise when you contact us.
The personal information that we collect depends on the context of your interactions with us and the Services. The personal information we collect may include the following:
Personal Information Provided by You. We collect names; phone numbers; email addresses; home addresses; dates of birth; emergency contact details; and preferred contact methods.
Special Category (Health) Data. As part of providing our counselling services, we also collect sensitive data you provide in your agreement form and during our sessions. This includes your reasons for seeking counselling, your counselling history, your medical and psychiatric history, details of any self-harm, and your GP's contact details. We also maintain brief, confidential notes on our sessions, as is standard professional practice.
All personal information that you provide to us must be true, complete and accurate, and you must notify us of any changes to such personal information.
Information automatically collected
In Short: Some information — such as your Internet Protocol (IP) address and/or browser and device characteristics — is collected automatically when you visit our Website.
We automatically collect certain information when you visit, use or navigate the Website. To protect your vital interests or the vital interests of another person. We may use your information, such as your GP details or emergency contact, where we believe it is necessary to protect you or another person from serious harm.
To comply with our legal and professional obligations. This includes our requirements as a counselling professional to maintain records and adhere to ethical guidelines.
To maintain the security of our Website. We use automatically collected data for our internal analytics and to maintain the security and operation of our Website.
3. Will your information be shared with anyone?
In Short: We hold all information in the strictest confidence. We only share information to comply with laws, to protect your safety or the safety of others, for professional supervision, or to fulfil business obligations.
We hold the content of our sessions in strict confidence. However, we may process or share your data that we hold based on the following legal basis:
Consent: We may process your data if you have given us specific consent, for example, consenting for us to contact your GP.
Legal Obligations: We may disclose your information where we are legally required to do so in order to comply with applicable law, governmental requests, or legal processes. This includes, but is not limited to, reporting involvement in acts of terrorism, money laundering, or drug/people trafficking.
Vital Interests: We may disclose your information where we believe it is necessary to investigate, prevent, or take action regarding potential threats to the safety of any person (e.g., serious risk of self-harm or harm to others) or to report suspected harm or abuse to a minor or vulnerable adult.
Professional Supervision: As a qualified counsellor, I am required to attend regular supervision. During supervision, elements of our sessions may be discussed. No identifying information (such as your name) is ever used, and my supervisor is bound by the same confidentiality procedures.
Business Transfers: We may share or transfer your information in connection with, or during negotiations of, any merger, sale of company assets, financing, or acquisition of all or a portion of our business to another company.
4. Do we use cookies and other tracking technologies?
In Short: We may use cookies and other tracking technologies to collect and store your information.
We may use cookies and similar tracking technologies (like web beacons and pixels) to access or store information when you visit our Website. 5. How long do we keep your information?
In Short: We keep your information for as long as necessary to fulfil the purposes outlined in this privacy notice and to comply with our legal and professional obligations.
We will only keep your personal information for as long as it is necessary for the purposes set out in this privacy notice, unless a longer retention period is required or permitted by law (such as tax, accounting, or other legal or professional requirements).
Session Notes & Agreements: In line with professional body guidelines, we will retain your personal information, counselling agreement, and brief session notes for a period of 6 years after our counselling relationship ends.
Email/Message Copies: Copies of our email or message exchanges will be stored electronically on a password-protected drive for a period of 7 years, after which time they will be deleted.
Contact Details: Your contact details (e.g., phone number, email) stored for general communication will be deleted one month after your final session.
When we have no ongoing legitimate business or legal need to process your personal information, we will either delete or anonymise such information, or, if this is not possible (for example, because your personal information has been stored in backup archives), then we will securely store your personal information and isolate it from any further processing until deletion is possible.
6. How do we keep your information safe?
In Short: We aim to protect your personal information through a system of organisational and technical security measures.
We have implemented appropriate technical and organisational security measures designed to protect the security of any personal information we process.
Physical Data: All personal information and session notes stored physically (such as your signed agreement) are kept in a locked filing cabinet.
Digital Data: All electronically stored information (such as session notes, agreements, or email records) is stored on a password-protected drive.
Online Sessions: We use encrypted services such as Zoom and WhatsApp for our virtual counselling sessions to ensure a secure connection.
However, despite our safeguards and efforts to secure your information, no electronic transmission over the Internet or information storage technology can be guaranteed to be 100% secure. Although we will do our best to protect your personal information, transmission of personal information to and from our Website or via email is at your own risk. You should only access the Services within a secure environment.
7. Do we collect information from minors?
In Short: We do not knowingly collect data from or market to children under 18 years of age.
We do not knowingly solicit data from or market to children under 18 years of age. By using the Services, you represent that you are at least 18 years of age. If we learn that personal information from users less than 18 years of age has been collected, we will take reasonable measures to promptly delete such data from our records. If we are relying on your consent to process your personal information, you have the right to withdraw your consent at any time. Please note, however, that this will not affect the lawfulness of the processing before its withdrawal.
Please be aware that our legal and professional obligations (such as the requirement to hold records for 6 years) may override requests for erasure.

9. Controls for do-not-track features
Most web browsers and some mobile operating systems and mobile applications include a Do-Not-Track (“DNT”) feature or setting you can activate to signal your privacy preference not to have data about your online browsing activities monitored and collected. At this stage, no uniform technology standard for recognising and implementing DNT signals has been finalised. As such, we do not currently respond to DNT browser signals or any other mechanism that automatically communicates your choice not to be tracked online.

In Short: Yes, we will update this notice as necessary to stay compliant with relevant laws.
We may update this privacy notice from time to time. The updated version will be indicated by an updated “Last Updated” date and the updated version will be effective as soon as it is accessible.
